About the Company
We are a marketing automation company that helps medical clinics in the U.S. get more patients. We help our clients track and communicate with their leads and patients at scale, using automation and our CRM.
Main Responsibilities
• Email Management. Assist with monitoring of inbox and emails, including responding to clients, other contractors, and business contacts. Develop a bank of saved replies and process tree for knowing which replies to send and when.
• Calendar Management. Maintain daily calendar, arrange calls and meetings, while making sure all details are handled in a clear and organized manner.
• Create and Organize Systems. Develop and document systems (with detailed checklists and video summaries), so you are empowered to handle many tasks to free up our CEO’s time.
• Document Management. Help our CEO get and stay organized with naming conventions and folders. So he can easily find documents or have you find them for him.
• Basic Marketing Tasks. Follow our checklists to do basic marketing tasks such as sending Email Marketing Broadcast emails and publishing Podcast episodes.
Qualifications
• This is not an entry-level assistant position. You must have at least 2+ years of working experience as Executive Assistant for a business owner.
• Excellent verbal and written communication
• Ability to quickly learn new software applications
• Not just an “order taker” – but someone who can lead and guide our CEO, making proactive suggestion and improvements.
