Responsibilities:
Administrative/Project Management:
Handle calls, emails, and mail communications promptly and professionally.
Assist in managing transactions, including coordinating inspections, resolving title issues, and serving as a point of contact for various parties.
Document processes and procedures regularly to maintain an active playbook on the role and tasks.
Transactions:
Coordinate real estate transactions from beginning to end, ensuring timely closures.
Assist in negotiating property liens, overcoming title roadblocks, and managing documentation.
Schedule appointments and communicate effectively with sellers, buyers, and title agents.
Miscellaneous:
Track utilities, manage filing processes, and assist with various administrative tasks.
Gather Google reviews and continuously improve client experience and internal processes.
Attend business meetings and training sessions as required.
Qualifications:
Exceptional problem-solving skills and ability to think outside the box.
Strong communication skills and ability to build rapport.
Proficient in GSuite (Google Docs) and willing to learn new systems.
Customer empathy and willingness to work flexible hours.
Must speak English fluently and have stable internet with zero distractions.
Must be hyper-focused, present themselves with excellence, have an amazing attitude, and be punctual daily.
Prior experience in real estate or similar industry is a plus.

Additional Responsibilities:
Administrative Activities:
Lead weekly Team Meetings to ensure alignment and productivity.
Quarterly outreach to your Sphere of Influence within the database, scripting inquiries for business opportunities.
Build, implement, and manage systems for various departments ensuring scalability and efficiency.
Establish referral goals and review team goals, holding team members accountable to meeting these objectives.
Develop, coordinate, and administer policies, procedures, and performance standards.
Sales Activities:
Review and track team productivity and goals weekly to ensure metrics are met.
Marketing Activities:
Oversee and assist in the implementation of the company-wide marketing vision.
Supervise marketing efforts to generate business.
Manage website hosts to ensure consistent updates and functionality.
Develop and execute all Sales and Marketing campaigns.
Systems Activities:
Assist and serve as a consultant in other departmental systems.
Research and develop systems for transaction coordination, internal communication, and central database management.
Continually evaluate and audit systems to meet demands and assess scalability.
Supervise event planning and execution.
Growth Activities:
Attend necessary training sessions and plan team travel and training opportunities.
Create and lead a top Executive Assistant mastermind monthly.
Continuously learn and grow professionally.
Act as a gatekeeper for Team Lead, protecting lead generation time blocks.
Maintain an understanding of real estate laws and policies.
Customer-Facing Activities:
Serve as the first point of contact in handling customer inquiries or complaints.
Oversee key vendor relations and communicate with the Market Center.
Build and maintain relationships with customers.
