Looking for a remote executive assistant (EA) who will play a crucial role in providing remote administrative support to an individual who manages and owns multiple family businesses.
Only those who send a voice recording and CV will be interviewed.
Some of the responsibilities for the job include the following:
Creating QuickBooks Online invoices from data entered on Google Sheets
Handling phone calls and responding to inquiries for a self-storage business
Calling, and emailing storage unit tenants about past-due payments
Collecting rent for storage units and using our software to do so
Conducting research on various topics and providing summarized findings
Taking pictures of reports and receipts scanning them with a smartphone/computer and filing them in Google Drive folders
Making travel arrangements and coordinating logistics
Calling suppliers for better prices on quotes
Contacting tenants in rental properties and scheduling vendors for service requests
Assisting with basic bookkeeping and financial record-keeping
Performing various administrative tasks as assigned
Take notes and task maps on Notion of things you do on a daily or weekly basis
Perform daily, weekly, monthly, and random tasks on a to-do list basis
Watch short ‘how-to-do’ videos and create cleaner written documentation
Must possess the following skills:
Fluent in English
Organized
Coachable
Must be able to answer phone calls using RingCentral at random times during work hours
Must be comfortable in Google Suite (Gmail, sheets, drive, etc.)
Must be able to learn a simple Storage Facility software (Easy Storage Solutions)
Must be able to learn and use Notion
Must have strong communication skills
Must be able to create documentation of work performed
Must be able to perform random assignments that range from organizing travel to creating a list of potential customers within an area
A successful remote executive assistant should have exceptional communication and organizational skills, as well as proficiency in using digital tools and software. They should be able to prioritize tasks effectively, maintain confidentiality, and demonstrate a high level of professionalism. Strong attention to detail, the ability to multitask, and excellent time management are essential for success in this role.
Prior experience in providing remote executive support or administrative roles is preferred.
