General Task List:
– Reconcile multiple bank accounts semi-monthly and monthly
– Generate monthly reports (accrual and cash basis – property specific)
– Tie-out balance sheet accounts monthly (debt service, cash accounts, security
deposit amounts, escrow accounts, etc.)
– Review cash flow statement and resolve any unusual activity (coding errors,
large expense items, income discrepancies, etc.)
– Request fund transfers for security deposit returns
– Set up new properties under management (owner, bank, building, tenants,
budget, beginning balances, etc.)
– Maintain monthly report list by property / owner (for owner reports)
– Send financial reports to lending institutions as requested
– Reconcile NNN accounts upon move out and annually
– Set up annual property budgets
– Generate tax reports annually (1099s, 1098s, etc.)
– Distribute financial activity reports to CPAs for annual tax return preparation
– Reconcile tax returns to Appfolio reports annually
– Close capital accounts annually
– Maintain / create recurring journal entries
– Contact commercial and residential tenants to discuss past due amounts and set
up payment plans
– Assist staff entering accounts payable with questions regarding coding,
capitalization, etc.
– Be familiar with lease terms for assigned commercial tenants (gross vs. NNN,
utility bill-backs, notice provision, mid-term rent increases, etc.)
– Send delinquent accounts to collections as needed
– Close out lost management properties (owner, bank, tenants, building, etc.) and
hide affiliated accounts
– Maintain and enhance the Accounting Playbook to outline current policies and
procedures
– Recommend changes to policies and procedures
– Ensure all relevant information is uploaded to the server and/or tenant file in
Appfolio
– Answer owner / peer questions regarding financial reports via email or phone
– Work in conjunction with on-site staff to ensure individual suites are reflected
correctly in Appfolio (rent ready status, security deposit status, marketing status,
market rent status, etc.)
– Trouble-shoot accounting issues
– Create monthly owner property condition reports in conjunction with on-site staff
– Track property-specific major work orders / capital improvement projects
– Maintain Appfolio and Excel database of property asset acquisitions to assist with
budgeting
– Assist tenants with questions about their accounts
– Maintain tenant contact information in Appfolio
– Complete on-line forms to assist tenants trying to obtain financial assistance
– Assist in training other staff as required
– Ensure rent payments are correctly applied to tenant accounts
– Manage owner distribution
– Answer phone calls
– Other ad-hoc tasks
