Job Description

Our company is seeking an Accounting Administrative Assistant for our Project Team(s). This person will handle various accounting and clerical needs. We are looking for an individual who is highly organized, detail oriented, and a persistent self-starter who knows how to manage up. This person must be efficient and comfortable being a member of a team. The ability to multi-task and maintain complex schedules while managing administrative support is essential in this position. The ideal candidate for this job must be comfortable dealing with different types of people, must be a good problem solver, must present well and have excellent written and verbal communication skills. Assuring a steady completion of workload in a timely manner is key to success in this position. A high level of professionalism and confidentiality is also required in this role and background checks will be run on leading candidates.

KEY RESPONSIBILITES:

Work closely with accountants and Project Engineers for billing and Project Applications for Payment via Microsoft Teams and Zoom;
Perform accounting tasks including invoicing and budget tracking;
Draft, format, and proofread relevant documents;
Communicate with subcontractors and assist with project billing as requested;
Maintain an organized filing system of electronic documents;
Uphold a strict level of confidentiality;
Develop and sustain a level of professionalism among staff and clientele;
Support team when asked and as capacity allows;
Track construction office and site staging equipment for various job sites;

QUALIFICATIONS & SKILLS:

High School Diploma required, Degree with Accounting background/experience preferred;
Experience with HUD and LAHD pay applications, construction accounting, and prevailing wage/labor compliance knowledge is highly desired.
Intermediate Microsoft Office skills including Word and Excel with an ability to become familiar with firm-specific programs and software such as Procore, DocuSign, Built, etc.;
Ability to organize daily workloads and prioritize deadlines;
Willing to be flexible, learn and assist all members of the team;
Able to meet deadlines in a fast-paced, quickly changing environment;
Able to complete administrative tasks with minimal supervision;
A proactive approach to problem-solving with strong decision-making skills;
Strong verbal and written communication skills;
Strong interpersonal skills;
Friendly and credible demeanor;
Ability to manage stressful situations and maintain composure.
Must be available to work during Pacific Standard Time (PST).
Must have minimum 90 identity score.
