Position: Bookkeeping and Admin Assistant

MISSION:
The core mission of this role is to ensure the accuracy and efficiency of financial and administrative processes, contributing to the smooth and reliable operation of the company’s day-to-day activities.

RESULTS TO BE GENERATED:
• Deliver accurate and quick responses to emails, fostering clear and effective communication.
• Complete all tasks, both administrative and financial, accurately and without mistakes, upholding our standard of excellence.
• Ensure daily bookkeeping tasks are turned around within the same business day, supporting the financial health and operational efficiency of our business.

SKILLS AND ATTRIBUTES REQUIRED:
• Minimum 3 years experience in administration and bookkeeping using Quickbooks.
• Added points if you have Canadian experience.
• Exceptional attention to detail and a commitment to accuracy in all tasks.
• Proven ability to manage time effectively and meet deadlines.
• Strong initiative and the ability to work independently with minimal supervision.
• Proficiency in bookkeeping software and Microsoft Office/Google Suite.
• Excellent organizational, communication, and problem-solving skills.
• Understands accounting, cashflow forecasting, P&Ls, and balance sheets.
• Firm and professional demeanor when communicating over phone and email.
• Strong administrative acumen with very strong reading and writing skills.
• A proactive mindset with the capacity to adapt and innovate.
• Logical thinker and process oriented – you have no problem following instructions and steps on how to get things done.
• You know how to connect the dots and can fill in the gaps with limited information.
• Have your own computer with 2 computer monitors and minimum 75 mbps internet connection.

RESPONSIBILITIES:
• Efficient management of email communications and prompt response to inquiries.
• Pick up phone calls and respond appropriately.
• Accurate and timely completion of daily bookkeeping responsibilities, including transaction recording, invoice processing, payment matching, bill verification and posting, assist with AR and account reconciliation.
• Execution of various administrative tasks with an eye towards process improvement and efficiency.
