WYSH—What’s Your Story Huh is a communications consulting firm based in Singapore. We specialise in training and coaching through storytelling and improv and produce a comedic storytelling show, “What’s Your Story Slam,” which promotes the power of personal narratives.
Position Overview:
We are seeking an Administrative and Operations Assistant to support our dynamic team. The ideal candidate will manage a variety of administrative and operational tasks to ensure efficient scheduling, communications, and event logistics. This role is crucial for maintaining smooth operations and supporting our CEO, Anna Ong.
Key Responsibilities:
*Manage and create event pages on platforms like Eventbrite.
*Generate promo codes for each storyteller and set up the voting site and QR codes using Mentimeter.
*Coordinate logistics with the videographer and photographer, ensuring timely arrivals and setting up Google folders for file uploads.
*Handle invoicing and payments for services and venues.
*Craft and send post-event emails and manage the creation of promotional materials such as PNG files for voting and tickets for upcoming shows.
*Create social media collateral on Canva to promote “What’s Your Story Slam”.
*Maintain active communication via Eventbrite, Google, Facebook, and Instagram, responding to queries and following up on testimonials and leads.
*Collect and document media mentions and LinkedIn mentions of Anna Ong.
*Categorise and collect posts from Anna Ong’s LinkedIn and her podcasts and media interviews.
*Update the website (SquareSpace) with the latest events and manage links on Instagram and LinkTree.
*Manage email: clean up the inbox from spam and unsubscribe from unwanted lists.
*Categorise expenses in Xero.
*Collect all scripts of stories submitted and coordinate the submission of these scripts to the IMDA.
Requirements:
*High organisational and multitasking skills.
*Proactive and self-driven with excellent problem-solving capabilities.
*Proficiency in Canva, Eventbrite, Xero, Square Space, Calendly, Google Calendar, and Email management.
*Strong written and verbal communication skills, committed to delivering exceptional customer service.
*At least 1-2 years of relevant experience in marketing, events, or business administration.
Performance Metrics:
*Maintain an organised calendar with no overlap in meetings or appointments.
*Ensure completed tasks and projects are executed with high efficiency, accuracy, and confidentiality.
*Manage the CEO’s email inquiries efficiently, ensuring all are responded to by the end of each day and checked thrice daily.
*Keep the CEO’s inbox clean of spam.
*Advance preparation of the shows
*Number of ticket sales.
*Number of generated leads.
*Collection of testimonials and feedback from storytellers.
Salary:
S$5 to S$8 per hour.
