Role Overview:
Our client manages a small but growing team of social media creators. We are looking for a highly organized and skilled Superstar Admin Assistant (with 5-10 years of experience) to play a crucial role in scaling our operations and providing exceptional support in managing our creators and brand partnerships.

Responsibilities:
Email and Communication Management:
Organize and consolidate email inquiries from brands.
Prioritize urgent matters: Content approvals, last minute (short lead time) opportunities so that the client does not miss out on anything.
Filter and prioritize viable brand partnership opportunities.
Document and maintain records of top existing brand relationships.
Create weekly/monthly content schedule emails with all info for creators to go and produce their branded partnership content.

Calendar and Meeting Management:
Manage calendars, schedule appointments, and create meeting agendas.
Provide reminders and logistical support for upcoming jobs and meetings.
Ensure approved content is added to the creators calendars.
Attend client calls with the Director to gain overall understanding of how things run.

Reporting and Administration:
Record live content in Master Collaboration document.
Assist with quarterly reporting and other administrative tasks.
Organize and send gifts as part of relationship management.
Maintain high levels of organization and attention to detail in all tasks.

Project Management:
Record deal details in Master Collaborations documents
Ensure deliverables and rates are recorded accurately.
Use Asana for project and CRM management.
Collaborate closely with the Director to streamline processes and communication as well as review contracts.

Future Invoicing Support:
Provide support with invoicing through Xero (to be incorporated later).

Requirements:
Proven experience as an Admin Assistant in a similar role, preferably within the influencer marketing or related industry.
Exceptional communication and email management skills.
Highly organized with an eye for detail, capable of multitasking effectively.
Proficient in using for project management and CRM.
Ability to learn quickly and adapt to the evolving needs of the agency.
Proactive and dedicated, seeking a long-term collaborative role.
Available to start part-time from Monday 29th of April.
Ability to work under pressure and meet deadlines
Working hours from 8am AEST – 12pm AEST
Maintain strict confidentiality regarding client information, contracts, and strategies.

Timezone: AEST

Working Hours: 4 hours per day / 20 hours per week, from 8am – 12pm AEST

Rate: $488 AUD per month, plus a $30 AUD incentive for complete attendance
