Job Description

In this role, you will work closely with the executive director and the admin team to manage diverse projects and communications across departments, including HR, programming, business development, and IT. You must have excellent attention to detail, be highly organized, a fast learner, and deadline-driven. All work is driven by Asana project management and SOPs.

You will start at 4 hours per day and should be available to work during 8am-1pm Eastern Standard Time business hours as a starting schedule. If productive and successful in role, there is immediate potential to expand to 8 hours a day.
Be ready to take a project management and work competency assessment prior to interview.

You will be responsible for:

Inbox management: Ensure Inbox Zero for executive director
Optimizing the executive director’s time and priorities to reach the organization’s goals
Own and manage complex calendars and scheduling across the team
Drive internal team communications in Slack, Asana, and email
Own, create, edit, and manage proposals, reports, research, and/or presentations
Build and maintain relationships with school partners, networks, and team
Own, lead and facilitate deadline-driven projects using Asana
Refer to SOPs and improve SOPs during all work
Supports executive director and team on business development and marketing deliverables
Supports the rest of the admin team in making sure that tasks and projects are completed on time

Skills:
Strong written and verbal English communication skills
Highly organized, detailed oriented, with a good memory for what we discussed across many topics
Proactive attitude–not waiting for orders or explanations but actively problem-solving
Ability to project manage on deadline in Asana (if you are expert in another project management platform than Asana, you will teach yourself Asana in the first week of work)
Experience in working in a fast-paced start-up environment with diverse and new tasks every day
Flexible and able to teach yourself quickly
Excellent time management
Strong analytical and critical thinking skills
Expertise in Google Suite (Gmail, Drive, Docs, Sheets, etc.)

You will start as Admin Assistant, working with the admin team and executive director, with general responsibilities in email management, scheduling, project management, business development, client services and communications, etc. All Admin Assistants evolve their roles as they slot into where the company needs the most help so expect to have a changing role over time as we all do.

Probation Period: Your work performance will be reviewed closely in each of your first few weeks of employment, starting in the first week of your work. Review will include written and/or verbal feedback from one or more of the admin team.

You will receive feedback from the admin team throughout your service with MakerState, especially in the first few weeks. If you are communicating well, asking questions about what you do not know or understand, and checking off your to-do’s on deadline, you’re doing well, keep it up. If you are not communicating about what you do not understand and are not meeting your deadlines, you will be receiving feedback on that too.

You will start at $4 or $5 per hour, depending on your experience and abilities, and be raised to $5 or $6 per hour within 6 months, given satisfactory performance.
