We’re looking for a positive and motivated, Administrative Assistant (“VA”) to support our CEO.
In order to grow the business, the CEO needs to work in their sweet spot and focus on their core roles; biz development, sales & marketing, content, and partnerships.
This will require you to protect their time by assuming responsibility for day-to-day and ad hoc administrative tasks.
Previous experience as an Administrative (“Virtual”) Assistant or Project Manager is a must. Ideal candidates would have at least 2-3 years’ experience in these roles.

This is a remote or work from the home role and would ideally suit someone wanting to work 4 hours a day, five days a week. We need overlap with US working hours, so we can all communicate as a team and with clients.

You should have excellent people skills, integrity and attention to detail as well as a proactive mindset.
///// Responsibilities /////
Your job will be to use your past experience to:
Client Request Handling
Monitor owner’s email inbox
Make sure all necessary information is included and delegate to the appropriate team member(s) while also overseeing that the request is fulfilled accurately and on time.
Responding to client questions and requests
Client Reporting
Check reports from team for completeness and accuracy
Send monthly reports
ClickUp Project/Task Oversight and QA (quality assurance)
Make sure team is meeting deadlines and that they have what they need
Quality assurance, examples include:
Go through website pre-launch checklist and post-launch checklist to ensure everything has been completed
Run through client onboarding and offboarding checklists
Onboarding new clients (data entry, setting up tools, etc)
Document and maintain processes and SOPs
Regularly update existing process documents as processes change or improve
Record video/transcription for and document new processes

Qualities we are looking for:
English fluency
At least 5+ years experience with virtual assistant work
A free thinker, willing to look for answers and efficiencies
Willing to learn new things
Confidence in organization, details and communication
A team player who is happy working in a small team of 5-10 people and closely with the owner
Strong communication skills
Responsive: Quick with email and chat communication
Preferred experience and knowledge of:

WordPress
High Level
Figma
Special requirements:
A computer that is reliable and runs most software
Your own Internet connection and some kind of backup internet or secondary location to work from
Have a headset or microphone and video camera (for team meetings)

This is a part-time role, expected to work 10+ hours per week, M-F, which can be decided and set before starting in the role and with the expectation to increase over time. We are looking for a team member that can overlap their working schedule with our US-based 9am-5pm ET (New York) time zone. We are not looking for an agency.
