Job Description

We are looking for a competent Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to executive’s working life and communication.

Principal Responsibilities:

– Assist in building and creating a cold call list in the following niches: restaurants, dry cleaners, construction, wholesalers, beer and wine stores.
a. Conduct market research on various niches.
b. Research and identify potential clients.
c. Add all prospects, notes, and follow-up tasks into the CMS daily.

– Assist with HubSpot Data Migration.
– Nurturing lead generation on Alignable and LinkedIn.
– Research, track, maintain and update leads.
– Assist in writing and editing content for email distribution campaigns.
– Assist in creating graphics and marketing materials.
– Assist in creating videos about products and services.
– Assist in social media (Twitter, LinkedIn, Instagram and Facebook, and other platforms) to build followers and engagement to boost Agency online presence.
– Assist in creating marketing material for niche markets: restaurants, dry cleaners, construction, wholesalers, beer and wine stores.
– Update spreadsheets, databases, and marketing content.
– Helping identify marketing trends and key opportunities for innovation.
– Providing administrative support to the marketing team and claims and quality control team.
– Take dictation and minutes of the meeting.
– Support the marketing team with planning, implementing, and monitoring marketing campaigns.
– Develop and carry out an efficient documentation and filing system.
– Review documents from old and new clients and make sure it’s complete.
– Answer inbound phone calls.
– Assist the Director of Marketing and Claims Liaison as needed.
– Other duties as assigned.

Requirements and Skills

– Proven experience as an Administrative Assistant, or in other secretarial position
– Proficiency in English
– Exemplary planning and time management skills
– Good understanding of marketing principles
– Demonstrable ability to multi-task and adhere to deadlines.
– Well-organized good knowledge of market research techniques and databases.
– Excellent knowledge of MS Office, marketing computer software and online applications (CRM tools, Online analytics, HubSpot, Applied Epic etc.)
– Exquisite communication and people skills
– High School diploma: BS in Marketing, Business, Communication Arts or relevant field is a strong advantage.
