Job Description

We have a full-time, on-site opportunity available for an Administrative Assistant in Metro Manila. The role entails providing administrative support, managing phone calls with professionalism and courtesy, and ensuring effective communication throughout the company. Additionally, the Administrative Assistant will be responsible for offering executive-level administrative assistance and demonstrating strong clerical skills.

Responsibilities

• Welcome and direct visitors, handle phone inquiries, and address complaints in a courteous and professional manner.
• Manage employee access and identification for company premises.
• Update company databases and office policies, particularly regarding employee and visitor building access.
• Assist the Human Resources/VISA Department with personnel databases and government submission requirements.
• Support event organization by ordering materials and arranging meeting spaces.
• Attend meetings, take notes, and relay messages for managers and senior officers.
• Establish an efficient filing system for maintaining confidential company documents.
• Organize, store, and print company documents as necessary.
• Supervise file maintenance, record-keeping, and report preparation.
• Coordinate document processing between company and Property Management of the building

Qualifications

• High school diploma or equivalent; additional qualifications as an Administrative Assistant is a plus.
• Proven experience as an Administrative Assistant or in a similar role.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and time management skills.
• Excellent verbal and written communication skills.
• Attention to detail and problem-solving abilities.
• Ability to handle confidential information with discretion.
• Professional and friendly demeanor.
