Responsibilities:
Confirm Patient Appointments: Reach out to patients to confirm upcoming appointments and manage the appointment calendar efficiently.

Handle Patient Inquiries: Respond to patient inquiries via phone and email, providing information and assistance with a caring approach.

Maintain Patient Records: Ensure accurate and confidential maintenance of patient records in our EMR system (Prompt EMR).
Greet Patients and Provide Directions: Welcome patients to the facility and offer guidance within the clinic premises.
Coordinate with Medical Staff: Collaborate with medical professionals to manage daily schedules and ensure optimal patient care.

Ensure Privacy and Confidentiality: Uphold patient privacy and confidentiality in all interactions and record-keeping.
Manage Referrals: Handle incoming referrals from other healthcare providers and coordinate patient appointments accordingly.

Respond to FAQs: Address frequently asked questions from patients and provide necessary information.
Handle Appointment Rescheduling: Assist in managing appointment rescheduling efficiently.
Send Personalized Communications: Engage with patients through personalized communications, fostering a caring and supportive environment.

Assist with Insurance-related Queries: Provide assistance to patients regarding insurance-related inquiries.
Manage Therapists’ Schedules: Coordinate therapists’ schedules and appointments to optimize patient care.
Check-In and Out Patients: Manage the check-in and check-out process for approximately 50 patients per day, utilizing EMR (Prompt EMR).

Support Clinicians: Assist clinicians in managing their daily schedules and addressing the needs of their patients.
Compliance Maintenance: Ensure compliance with the prescribed frequency of patient appointments.

Qualifications:
Knowledge of physical therapy outcomes measures.
Experience in managing a high-volume clinic with approximately 50 patients per day.
Proficiency in using VOIP and EMR systems; experience with Prompt EMR is a plus.
Excellent communication skills, both written and verbal.
Ability to convey the importance of attendance with empathy and in alignment with core values.

Communication and Coordination:
Utilize VOIP, EMR, and the VA for effective communication with both patients and team members. Maintain regular communication via EMR, initially daily and then weekly, to ensure proper coordination of patient schedules and adherence to prescribed frequencies.
