We are looking for a team member who can provide that much-needed support in our journey: AN ADMINISTRATIVE ASSISTANT who can help us with the insurance side of our business.

The mission of this Administrative Assistant (AA) is to provide essential administrative support for the insurance aspect of our business, reinforcing our efforts to deliver outstanding customer service. As the “first line of defense” for our after-sales activities, this person serves as a gatekeeper, managing client requests promptly and flawlessly while escalating out-of-scope concerns to the appropriate supervisor. This person is also a custodian who safeguards our sales records for accuracy and completeness, systematically ensuring on-time premium payments to help us reach our sales targets. Lastly, this person provides sales support by way of crafting insurance proposals according to our specifications and initiating timely application submissions.

We want someone who has these qualities (most important first):
1. Task-orientedness – enjoys processes and finds satisfaction in knocking off tasks from a task list.
2. An eagle eye for detail.
3. People-orientedness – has a heart to help and support people; manifests a courteous and cheerful disposition.
4. Tech-comfortable – would be able to navigate MS Word, MS Excel, Google Docs, Google Sheets, Gmail, and Google Calendar fairly easily. Having skills with ClickUp, Airtable and Slack are a plus.
5. Excellent command of the English language.

Duties:
1. Serve as the first gatekeeper, the first “line of defense”, for the handling of client requests and concerns. Tasks within the AA’s scope are to be handled promptly, while those beyond scope are escalated promptly.
2. Preparation of insurance proposals.
3. Submission of insurance applications and processing of new business requirements.
4. Eagle-eye validation and submission of requirements for client requests and insurance claims.
5. Scheduling of client requests through our insurance provider.
6. Manage premium due and overdue lists, communicating with clients to ensure they pay for their plans.
7. Conduct systematic follow-ups to push forward premium payments, new business compliance, and after-sales transactions.

Job Details:
1. The person we’re looking for will be amenable to work at PHP 200/hour and is expected to work about 20-25 hours a week from Monday to Friday.
2. Every Monday from 9:00 AM to 12:00 PM, the AA will need to report to the AXA office either in Parañaque, Commonwealth (Ever Gotesco/Don Antonio area), or Eastwood—the AA is free to choose which one.
3. Every Tuesday to Friday from 6:00 AM to 11:00 AM, the AA is free to work virtually from anywhere they want (with a good internet connection).
4. As the business grows and our assistant’s performance improves over time, both the hourly rate and the number of hours required may increase.
5. Our goal is to build an organized, systematized business, and one of the big advantages of that is that our business is fairly predictable and thus low-stress for the person we’re hiring.

1. Basic insurance underwriting concepts.
2. New business and after-sales processes.
