Job Summary

We are seeking a highly organized and detail-oriented Administrative Virtual Assistant from the Philippines to provide critical support to our medical device distribution company. The ideal candidate will have a strong understanding of administrative procedures, excellent communication skills, and experience working in a fast-paced environment. Strong time management and the ability to work independently are essential.

Key Responsibilities

Calendar Management: Schedule surgeries in a shared calendar, ensuring all necessary information and pre-authorizations are obtained and communicated effectively.

Inventory Management: Assist with tracking inventory levels, updating records, and coordinating reorders as needed.

Expense Tracking: Maintain expense reports, process invoices, and reconcile accounts.

Meeting Management: Confirm appointments, prepare agendas, and distribute meeting materials for internal and external meetings.

Order Entry: Accurately input sales orders into the system, track order status, and communicate updates to relevant parties.

Bookkeeping: Assist with basic bookkeeping tasks, including data entry, account reconciliation, and report generation

Sales Support: Calculate rep commissions, process and track payments, and assist with commission-related inquiries.
Price Quoting: Generate price quotes upon request, ensuring compliance with company guidelines.

Skills and Qualifications:
Minimum of 2 years of experience as a virtual assistant or in an administrative role.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with calendar management software (Google Calendar).
Excellent written and verbal communication skills in English.
Ability to work independently, manage multiple priorities, and meet deadlines.
Highly organized and detail-oriented.
Experience in the medical field or medical device industry is a plus.
