Job Summary:
We are currently seeking a detail-oriented and highly organized Administrative Assistant to Management to join our team. This remote position requires working UK hours and involves handling various administrative tasks, providing support to the management team, and assisting with personal tasks remotely. The Administrative Assistant will play a crucial role in ensuring efficient operations, booking travel arrangements, taking meeting notes, arranging Zoom calls, and handling repetitive administrative responsibilities.
Responsibilities:
– Perform various administrative tasks, such as managing calendars, scheduling appointments, and organizing documents, to support the management team.
– Assist with travel arrangements, including booking flights, accommodations, and transportation, while ensuring cost-effectiveness and adherence to travel policies.
– Take detailed notes during meetings and compile accurate meeting minutes to document discussions, action items, and decisions.
– Coordinate and schedule Zoom calls, ensuring all participants receive the necessary information and joining instructions.
– Handle repetitive administrative duties, such as data entry, file management, and document preparation, to maintain organized and up-to-date records.
– Provide remote personal assistant support to the management team as needed, including managing personal calendars, handling personal correspondence, and coordinating personal tasks.
– Prepare and distribute various reports, presentations, and correspondences as requested.
– Conduct research and gather information to support decision-making processes and projects.
– Maintain confidentiality and exercise discretion when handling sensitive information and discussions.
– Collaborate with other team members and departments to facilitate effective communication and smooth operations.
– Stay updated with company policies, procedures, and tools to ensure compliance and efficient workflow.
Requirements:
– Excellent spoken and written English skills are essential for effective communication and professional correspondence.
– Proven experience as an administrative assistant or in a similar role is preferred.
– Strong organizational skills and the ability to multitask and prioritize tasks effectively.
– Proficiency in using productivity tools such as calendar management software, document management systems, and virtual communication platforms.
– Attention to detail and accuracy in data entry, note-taking, and document preparation.
– Ability to work independently, meet deadlines, and handle repetitive tasks efficiently.
– Strong problem-solving skills and the ability to anticipate needs and provide proactive support.
– Familiarity with travel booking systems and arrangements is a plus.
– Discretion and professionalism when dealing with confidential information and personal tasks.
– Reliable internet connection, a suitable home office or workspace, and necessary equipment for remote work.
