Who we are looking for:

We are seeking a proactive and highly organized Administrative Assistant to join our team. In this role, you will be responsible for various administrative tasks to ensure the smooth functioning of our operations. Your main responsibilities will include organizing emails, calendars, and corporate outings, as well as managing Key Performance Indicators (KPIs) and assisting with onboarding processes. If you have vast experience on similar roles, we would like to hear from you.

Main responsibilities:

• Organize and manage emails, calendars, and corporate outings.
• Run and manage the platform efficiently.
• Work during US business hours to support the team.
• Utilize Buildertrend software for project management and coordination.
• Provide timely reminders to subcontractors for project deadlines and tasks.
• Source and organize subcontractors for administrative tasks related to project facilitation.
• Display a proactive attitude and take initiative in handling tasks.
• Assist in managing and updating to-do lists in Buildertrend.
• Collaborate with team leads to streamline processes and ensure effective communication.
• Maintain organized to-do lists and reminders for all team members.
• Ensure accountability and follow-up on assigned tasks.
• Facilitate the submission of Requests for Information (RFIs), correct contracts, and gather information from subcontractors for ongoing projects.
• Assist in creating and implementing efficient systems for enhanced productivity.
• Act as an office manager, handling payments and other administrative duties as required.

What you need:

• Strong organizational and time-management skills.
• Proficiency in using Buildertrend software or similar project management tools.
• Excellent communication and interpersonal abilities.
• Proven track record of being proactive and taking initiative.
• Experience in administrative tasks, preferably in a construction or project-based setting.
• Ability to work collaboratively with team leads and subcontractors.
• Detail-oriented with a focus on maintaining accuracy.
• Prior experience as an office manager is a plus.
