I am seeking a hardworking virtual assistant that has EXCELLENT attention to detail, loves data entry, is great at research, and is a quick learner that takes initiative. The assistant must be available FULL-TIME to me to work during normal business hours, 10 am-7 pm EST, Tuesday-Saturday, five days a week.
Must be fluent in English, reading, comprehending, writing, and speaking. There is a 90-day trial period with the potential to grow into a long-term and full-time position. I want to work with someone long-term, to hold a place as permanent staff within the business.
Must have strong knowledge of:
* ClickUp
* Slack
* Canva
* Google Workspace
Among other things, your responsibilities will include:
ADMIN SUPPORT:
Data Entry
* Collect, sort, and input data.
* New Clients Referral Source
Email Management + Customer Support
* Managing customer support emails
* Answering inquiries on website contact forms.
* Decluttering inboxes, organizing emails into folders, replying, and following up on email communications.
* Segmentation of Emails for Marketing
Calendar Management
* Schedule clients and manage cancellations
* Set up a calendar for business meetings and personal appointments
Bookkeeping Tasks
* Gather receipts or invoices down into Backbar (professional), retail, and shipping.
* Send them to the Bookkeeper weekly/monthly
Manage Client Contact List
* Check for duplicate contacts, and filter incorrect or outdated data, including leads, and current and previous clients.
Edit, Format, and Design Documents
* Using tools and resources that represent the brand for the service/product that is being implemented in Canva (if need be).
SPA BUSINESS SUPPORT:
Daily To-Do Lists
* Help organize and stay on top of tasks (e.g. ClickUp + Slack).
Manage Phone
* Follow-Up Calls: Respond professionally during business hours (via OpenPhone)
* Voicemails: Check, respond, delegate, and delete voicemails.
Complete Business Trackers
* Data Entry: keep up-to-date (ie. Inventory, KPI, Membership, etc).
* Gain insight into what business practices are effective and what practices are not.
Inventory Management
* Track, sort, and order Inventory
* Update on the spa’s website (Squarespace) and booking system (Boulevard)
Spa Schedule Management
* Schedule, email, set up the calendar, and handle cancellations for clients via SMS.
Provide Clients Support + Care
* Make sure all clients fill out virtual forms before their scheduled visit
* Send before/after care forms via email or sms or client portal
* Send team gifts
* Send clients and members emails and gifts (missed payments, birthdays, nurture gifts, etc.)
Website Updates:
* Monthly offerings, events, price changes, and additional updates
