Job Description:

Our client provides the structures, systems, teams, tools, and guidance that recruitment consultants need to build a successful recruitment business and take control of their future. They do this through our two carefully designed programs:
– Temporary Recruitment Services
– Permanent Recruitment Services

They are looking for a talented full-time, Admin & Customer Support.

Job Responsibilities:

Project management of all new customer onboardings:
– Send a welcome email to the new customer using the company template.
– Collect information from a new customer for company incorporation using a template.
– Arrange and attend the onboarding kick-off meeting with Director
– Set up Trello board (project management software) for onboarding project
– Project task list customised for each customer in Trello with Director
– Liaise with all suppliers, get approvals from customers, and ensure onboarding projects are on track. These will include:
– Logo design
– Brand guidelines
– Website design and content with suppliers
– Work Health & Safety (WHS) arranges training with supplier
– Insurance – PI & PL cover with the broker
– Insurance – Workcover Insurance with the relevant state
– Microsoft 365 and email setup and configuration

Recruitment technology and basic user support:
– RatesCalc
– Set up Rates Calc Software tenancy for customer
– Proposals – create branded template for customers including terms and conditions using the company template
– Demonstrate, train, and support customers on the use of
– RatesCalc software.
– Recruit Complete Software
– Work with suppliers to build standardised workflows for customers
– Provide basic user support
– JobAdder Software
– Build standardised workflows for customers
– Provide basic user support
– FoundU Software
– Building standardised workflows for customers
– Provide basic user support
Prior use of the above software is not required – training will be provided to enable the provision of support

Office Admin – weekly and monthly tasks, including:
– All supplier invoices are filed and presented for payment approval weekly
– Invoicing of client’s service fees using Xero
– Respond to inquiries from Accountants
– Invoice new customers for onboarding

Customer Support Tickets:
Respond to support tickets and escalate accordingly:
– Payroll
– Marketing
– General support
– Website
– Technology
– Software

Job Qualifications:

– Must have at least 5 years of experience working in a temp recruitment agency, as a recruitment consultant.
– Nursing agency recruitment will be highly regarded.
– Must be familiar with the Accounting XERO platform
– Must have used temp recruitment software at an advanced level and be familiar with the processes.
– Familiar with concepts and processes in temp recruitment: Onboarding candidates, setting up clients, filling shifts, rostering, invoicing, timesheets and payroll.
