Job Description:
Creative Hearts, a music and performing arts school based in Singapore is seeking a dedicated and highly organized Full-Time Remote Admin Executive and Coordinator to join our music and performing arts school. In this role, you will play a crucial part in ensuring the smooth operation of our school by handling various administrative tasks remotely. As a key member of our team, your primary responsibilities will include:
1. Customer Communication:
Responding promptly and professionally to WhatsApp and email inquiries from students, parents, and prospective clients. Providing detailed information about our school’s programs, policies, and procedures.
2. Scheduling and Coordination:
Efficiently managing schedules for teachers and students. Coordinating lesson times, make up classes and other activities to ensure a seamless experience for all our customers.
3. Invoicing and Payments: Generating and sending invoices to students or parents. Tracking and managing payments, following up on outstanding balances, and maintaining accurate financial records.
4. Timetable Management: Creating and maintaining timetables for classes, camps and events. Ensuring that teachers and students are well-informed about their schedules.
5. Administrative Support: Assisting with administrative tasks, including data entry, document preparation, and maintaining organized records. Creating visuals and digital materials for lessons.
6. Technical Proficiency: Proficiency in using relevant software and tools for efficient communication, scheduling, and document management.
7. Problem Solving: Addressing inquiries and concerns effectively, finding solutions to scheduling conflicts, and providing timely resolutions to issues that may arise.
8. Reporting: Preparing regular reports on student enrollment, financial transactions, and other relevant metrics for management review.
Requirements:
– Able to work on Saturdays and Sundays
– Strong organizational and multitasking skills.
– Excellent written and verbal communication skills.
– Great customer service skills.
– Proficiency in using email, WhatsApp, and relevant software.
– Prior experience in a similar administrative role is a bonus.
– Knowledge in music and the performing arts is advantageous.
