Job Title: Admin/Legal Assistant
Job Summary:
We are seeking a detail-oriented and proactive Admin/Legal Assistant to join our legal team. The successful candidate will play a crucial role in supporting our attorneys and clients, managing a variety of administrative and legal tasks to ensure smooth case management and efficient operation of our practice. The ideal candidate is organized, capable of multitasking, and has excellent communication skills.
Key Responsibilities:
Client Intakes: Handle initial client intakes, gather relevant information, and ensure accurate data entry into client management systems.
Fee Agreements: Assist with drafting and managing fee agreements for clients, ensuring they are clear, concise, and comply with firm policies.
Court Communication: Contact courts as necessary to obtain updates, schedule hearing dates, and address other procedural matters.
Mediation Scheduling: Coordinate the scheduling of mediations, including liaising with all parties involved to find suitable dates and times.
Filings: Prepare and file legal documents in compliance with court rules and deadlines, ensuring accuracy and thoroughness.
Document Preparation: Draft and format basic letters, notices, and other legal correspondence as directed by attorneys.
Case Updates/Monitoring: Monitor the status of ongoing cases, provide regular updates to attorneys and clients, and track important deadlines and milestones.
General Administrative Support: Assist with other administrative tasks as needed, such as managing calendars, booking meetings, and handling incoming calls and emails.

Qualifications:
Proven experience in a legal or administrative support role.
Familiarity with legal terminology, court procedures, and document filing processes.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficient in MS Office and legal case management software.
Ability to work independently and as part of a team.
High attention to detail and the ability to handle confidential information with discretion.
Report to Sr. Paralegal and MUST KNOW ABOUT THE UNITED STATES COURT SYSTEM.
