Virtual Assistant (VA) – Business Operations Support
Position Overview
We are seeking a highly organized, detail-oriented, and proactive Virtual Assistant to support our business operations. As a Virtual Assistant, you will work closely with the business owner to streamline administrative tasks, manage daily business operations, and contribute to the efficient functioning of the business. This is a remote position that requires excellent communication skills and the ability to work independently.
Key Responsibilities
Support
* Manage emails, schedule appointments, and set up meetings.
* Draft, format, and proofread documents, presentations, and reports.
* Organize, update, and maintain digital files and databases.
* Handle inbound and outbound communication with clients, vendors, and partners.
2. Scheduling and Calendar Management
* Coordinate the business owner’s schedule, ensuring no overlaps or conflicts.
* Send reminders for upcoming appointments or deadlines.
* Schedule and manage virtual and in-person meetings, including technology setup and
coordination.
3. Financial and Procurement Tasks
* Assist with invoicing, tracking payments, and following up on outstanding invoices.
* Coordinate procurement processes, including ordering supplies and managing deliveries.
4. Client and Customer Relations
* Act as a point of contact for client inquiries, feedback, and general communication.
* Maintain an updated CRM system with client details, notes, and communication logs.
5. Marketing and Social Media Assistance
* Schedule, post, and manage content across social media platforms.
* Assist in drafting newsletters, promotional materials, or blog posts.
* Monitor and manage online reviews and feedback.
6. Research and Data Collection
* Conduct market research or competitor analysis as needed.
* Gather data and generate reports to support business decisions.
7. Project Management Support
* Assist with planning, tracking, and execution of business projects.
* Coordinate with team members, freelancers, or external agencies as required.
8, Real Estate Assistance:
Manage and update property listings across multiple platforms.
Coordinate property viewings and inspections.
Assist with real estate market research and property valuation.
Liaise with real estate professionals, including agents, inspectors, and photographers.
9. Property Management:
Coordinate tenant move-ins, move-outs, and lease renewals.
Field tenant inquiries and maintenance requests.
Manage and update property listings for rent.
Collect rent, send reminders, and process lease applications.
Liaise with contractors and service providers for property repairs and upkeep.
Skills & Qualifications
– Previous experience as a Virtual Assistant or in an administrative support role.
– Proficient in office software such as MS Office, Google Workspace, and common CRM platforms.
– Strong communication skills, both written and verbal.
– Ability to multitask, prioritize, and manage time efficiently.
– Familiarity with social media management tools and platforms.
– Proven problem-solving skills and a keen attention to detail.
– Self-starter with the ability to work independently and meet deadlines.
– Comfortable working in a virtual, remote setting.
