Job Description

I own a small marketing consultancy business. As a key player in my team, you will work closely with me to streamline my marketing processes for my two podcasts, help me to manage my consulting projects, and streamline my business as much as possible.

I’m looking for an assistant to help with the following areas of my business:

Podcast management and marketing
– Managing the schedule of episodes in Clickup for my podcast.
– Formatting the episode descriptions (topics provided).
– Liaising with my podcast editor to keep the episode schedule on track
– Setting up graphics for new episodes in Adobe Indesign
– Filling out weekly Mailchimp campaign for new episodes
– Setting up weekly Instagram posts for new episodes.
– Sending invitations to potential podcast guests.
– Organising couriers to send microphones to guests.
– Getting visuals assets (logos, images etc) from guests for promotional images.

Helping with my consulting projects
– Rescheduling meetings
– Setting up initial presentation documents for new clients in Indesign
– Setting up clickup project management for new client projects
– Filling out marketing plan templates in Indesign
– Scheduling project meetings with clients.
– Sending onboarding links to new clients.
– Managing my email inbox and calendar.

Invoicing and book-keeping
– Setting up time-tracking projects in Harvest for new clients.
– Helping me to fill out my timesheets each week to track billable hours.
– Setting up monthly invoices in Xero.
– Reconciling transactions in Xero.
– Following up on unpaid/overdue invoices.

Timezone: I am based in Perth, Australia.

This role requires experience and knowledge of the following Apps:
– Clickup
– Adobe Indesign
– Mailchimp
– Instagram
– Xero
– Harvest

Training will be available, but I am looking for candidates who can confidently tackle the majority of the tasks above.

I require a candidate with fluent written English, who rarely makes mistakes with spelling, grammar and punctuation.
