Currently undergoing expansion, they are in search of an Administrative Virtual Assistant to aid in streamlining business operations and supporting our client in various administrative and organizational tasks.
As the Administrative Virtual Assistant, you will play a crucial role in the company’s operational efficiency. This part-time, remote position requires close collaboration with the business owner, focusing on organizational improvements and preparing the company for future growth. Your role will be integral in enhancing the productivity and effectiveness of the business.
Key Responsibilities:
Developing and implementing organizational systems to enhance efficiency.
Managing email communications and ensuring orderly email systems.
Assisting with time management and scheduling to facilitate focused, strategic work.
Providing tech support and guidance in selecting and utilizing software tools, including proficiency in Jobber.
Creating and managing pricing templates and proposals for clients.
Overseeing bookkeeping, and managing accounts payable and receivable.
Preparing and organizing employee paperwork in compliance with legal standards.
Coordinating with legal and HR consultants to ensure proper employment practices.
Managing social media accounts and content strategy.
Collaborating with website developers and overseeing the integration of online platforms such as ‘Nice Job’.
Gradually assuming responsibilities of a virtual receptionist, including answering calls and managing client inquiries.
Assisting in project management and tracking business deliverables.
Facilitating communication and coordination between different stakeholders.
Preparing reports and presentations as required.
Performing research and analysis on industry trends to aid in strategic planning.
Skills and Competencies:
Prior experience in virtual assistance or administrative roles is preferred.
Experience in a similar industry is a plus, demonstrating an understanding of the specific needs and pace of the role.
Exceptional ability to organize tasks, manage time effectively, and maintain a high level of accuracy in all work.
Demonstrated meticulousness in handling all aspects of the job, ensuring accuracy and thoroughness in completing tasks.
Strong skills in email management, familiarity with standard office software (like Microsoft Office Suite, and Google Workspace), and basic technical tools. Experience with industry-specific software, such as Jobber, is highly desirable.
Capacity to identify and solve problems efficiently and creatively, especially in a fast-paced and evolving environment.
Basic project management skills, including planning, execution, monitoring, and closing projects effectively.
Basic understanding of bookkeeping principles.
Outstanding communication skills, both written and verbal.
Exceptional multitasking abilities and effective time management skills.

Permanent work-from-home, remote role offer
Starts part-time, 5 to 10 hours per week with a possibility to increase hours leading to more hours
Must be available to work starting at 9:00 am EST onwards (night shift/ 9:00 or 10:00 pm PH)
Must have complete home equipment setup (desktop/laptop, headset, internet connection, and webcam)
Has home internet speed of at least 15-20 Mbps
