Position Overview
We are seeking a highly organized, efficient, and communicative Virtual Assistant to join our dynamic team. The ideal candidate will support various administrative and operational tasks, assist in client communication, and contribute to our podcast booking processes. This role requires a proactive mindset, exceptional attention to detail, and a strong understanding of the online marketing and podcasting landscape.
Key Responsibilities
Client Communication Support:
Manage email correspondences with clients to ensure they are informed and engaged.
Assist in preparing and sending pre-approval lists of podcasts to clients for their selection.
Podcast Booking Assistance:
Help maintain and update our database of top-rated podcasts and contacts.
Assist in scheduling podcast appearances for clients, including coordinating times between clients and podcast hosts.
Administrative Tasks:
Manage calendars and appointments to ensure seamless scheduling and efficiency.
Perform data entry and manage client records in our CRM system.
Prepare and organize digital files, ensuring easy access to critical information.
Research and Outreach:
Conduct research to identify new podcast opportunities for client placements.
Support outreach efforts to new podcasts for partnership and booking opportunities.
Special Projects:
Assist in the development and implementation of client monetization strategies.
Support the creation of marketing materials and presentations as needed.
Skills and Qualifications
Proven experience as a Virtual Assistant or similar administrative support role.
Excellent communication skills, both written and verbal.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficiency in Microsoft Office, Google Workspace, and CRM software.
Familiarity with the podcasting industry and online marketing strategies is a plus.
Ability to work independently with minimal supervision.
