Job Description

Position Overview:
The Virtual Assistant for a Music School. You are responsible for providing comprehensive administrative support to ensure the efficient operation and growth of the Instrumental Music Programmes within the school. This role involves managing various aspects of scheduling, billing, communication, and coordination with stakeholders including parents, students, instrumental tutors, and the Finance Team.

Key Responsibilities:

1. Organisational Support:
* Collaborate with instrumental tutors to develop and implement weekly lesson plans.
* Coordinate termly and weekly schedules based on the needs of tutors and parents.
* Monitor student attendance and manage enrolment and withdrawal processes.
2. Financial Management:
* Ensure accurate billing by liaising with tutors, parents, and the Finance Team.
* Manage instrumental tutors’ scheduling, billing, and provide support on related matters.
3. Technical Assistance:
* Support tutors with provide general tech support and training it/as needed.
4. Recruitment and Promotion:
* Assist in the recruitment of new instrumental tutors.
* Liaise with the Marketing and Admissions Teams on promotional activities.
5. Event Coordination:
* Provide administrative support for music-related events and extra-curricular activities.
* Collaborate with the Music Department to produce regular newsletters and promotional displays.
6. Reporting and Communication:
* Deliver termly analysis for the Instrumental Programme.
* Attend meetings with the Director of Music and other team members as required.
7. Looking after the social media accounts and updating each day.

Qualifications and Skills:
* Minimum 2 years of administrative experience.
* Diploma or equivalent qualification.
* Ability to work collaboratively in a fast-paced, team environment.
* Strong initiative and ability to learn quickly.
* Excellent communication, troubleshooting, and interpersonal skills.
* Proficiency in spoken and written English.
* Experience with Google Classroom and tech support preferred.
* Willing to learn Music Tutor software for Music school
