As an Administrative Assistant, you will be responsible for a wide range of administrative and operational tasks, contributing to the efficiency and effectiveness of our car rental business and maintenance operations. You will interact with clients, manage rental fleet logistics, handle corporate accounts, oversee social media engagement, and provide essential support to the team.
Key Responsibilities:
1. Client Communication:
o Proactively communicate with car rental clients via text messages to confirm reservations, provide information, and address inquiries.
o Ensure timely and clear communication to enhance customer satisfaction.
2. Financial Management:
o Confirm payments from rental clients and send invoices as needed.
o Maintain accurate records of financial transactions related to rentals.
3. Maintenance Coordination:
o Schedule maintenance and repairs with the mechanic for the rental fleet to ensure vehicles are in optimal condition.
o Manage GPS trackers to monitor vehicle locations and maintenance needs.
4. Corporate Account Handling:
o Manage relationships with corporate accounts, including Auto Zone, Pepboys, and others.
o Ensure prompt and accurate billing, payment, and service delivery.
5. Social Media and Automation:
o Oversee and manage social media accounts, creating engaging content and responding to inquiries.
o Utilize Manychat automation to streamline communication and improve customer service.
6. Expense Management:
o Maintain records of expenses related to operations, rentals, and maintenance.
o Ensure expenses are properly documented and within budgetary guidelines.
7. Phone Communication:
o Answer incoming phone calls, providing information and directing calls to the appropriate team members.
o Offer excellent customer service through phone interactions.
Qualifications:
Mandatory Qualifications:
• Previous experience in an administrative role, preferably in the automotive or rental industry.
• Strong organizational skills with attention to detail.
• Proficient in using communication tools and software.
• Excellent written and verbal communication skills.

• Familiarity with car rental operations and customer service best practices.

• Basic financial management and accounting knowledge.
