Are you passionate about the entertainment industry and thrive in dynamic, fast-paced environments? We are an Australian company renowned for creating compelling and entertaining content, and we’re looking for an Administration Officer to join our team!
About the Role
As an Administration Officer, you’ll be at the heart of our operations, ensuring the smooth running of guest bookings for our popular TV show. Your role will be essential in making our show a success, and you’ll have the opportunity to work closely with VIP guests and our Marketing Manager.
Tasks include but are not limited to:
Manage emails and calendar
Coordinate and confirm interviews
Oversee subscriptions
Respond to general inquiries
A proven track record in guest management and client interaction would be beneficial.
Familiarity with content production and interview processes is a plus.
Experience with subscription management platforms, particularly Uscreen, is highly desirable.
KEY RESPONSIBILITIES
Listed below are the primary key responsibilities of this role.
Guest Outreach:
Identify and invite potential guests
Interview Scheduling:
Coordinate and confirm interview schedules
Use Microsoft Office 365 for appointments
Communication: Provide VIP guests with interview instructions
Confirm participation
Send a reminder and a thank-you email
Administrative Support:
Maintain and update the guest database, ensuring accuracy and confidentiality.
Generate reports on guest bookings, cancellations, and feedback for continuous improvement.
Assist with other administrative duties as required to support the production team.
Prepare interview scripts and outlines.
Provide guests with necessary information about the show’s format, scripts, and on-air procedures
Act as the primary point of contact for all guest-related inquiries
Collaborate closely with producers, directors, and other team members to ensure seamless integration of guest interviews
Subscription Management:
Manage subscriptions, handle inquiries, and general member support.
Collaborate with the marketing team to develop strategies for increasing subscriptions and engagement.
Qualifications & Experiences
Communication Skills: Excellent written and verbal communication skills to effectively interact with guests, subscribers, and internal team members.
Organisational Skills: Strong ability to manage multiple tasks, prioritise workload, and meet deadlines.
Technical Proficiency: Competency with scheduling tools, spreadsheet software, and Excel.
Interpersonal Skills: Strong interpersonal skills with a professional demeanour to represent the show effectively.
Attention to Detail: Close attention to detail to ensure that all guest and subscriber information is accurate and up-to-date.
Marketing Background: Highly desirable

your working week (after a probation period) *
MUST-HAVES TO APPLY FOR THE ROLE
Prior experience in an administrative or coordination role, preferably within a marketing or media environment.
Marketing, Communications, Business Administration experience, or a related field is preferred.
Demonstrated ability to handle confidential information with discretion.
EXPECTED HOURS
Part-time 20 hours per week, Monday to Friday.
60-minute lunch break
Start time (flexible) – 10 am to 4 pm Melbourne Time – possibly leading to full-time work.
