Position Overview:
We’re seeking an energetic and highly organized Administrative Assistant to provide exceptional support in various business areas. The ideal candidate is a proactive problem-solver, communicates clearly, and can handle a wide range of administrative support tasks.
Key Responsibilities:
– Maintain strict confidentiality and handle sensitive information with discretion.
– Conduct research and gather information to support decision-making.
– Create and manage detailed records, spreadsheets, and reports.
– Create slides and video presentations with research findings.
– Find vendors and partners to expand business relationships.
– Find tools, software, and tech that can be used to improve business operations.
– Manage calendars, appointments, and meetings.
– Arrange domestic and international travel, accommodations, and itineraries.
– Prepare and edit emails, reports, and presentations.
– Coordinate and prioritize tasks to meet deadlines and objectives.
– Anticipate needs and proactively address issues before they arise.
– Assist with project management and follow up on action items.
– Handle tasks and projects as assigned by manager.
Prerequisites & Qualifications:
– Works during US Shift of 3pm – 11pm CST (4am – 12pm PHT).
– Bachelor’s degree in a related field (Business) is preferred.
– Has proven experience as an administrative assistant or similar role.
– Thinks and presents information clearly and logically
– Solves problems and makes decisions well.
– Collects, categorizes, and organizes things well.
– Prioritizes and manages tasks and time well.
– Works with clear goals and intended results in mind.
– Reads, writes, and speaks English clearly.
– Maintains a high level of professionalism and discretion.
– Obsesses over details and desires to deliver excellent work.
– Is honest and extremely hardworking.
– Works independently and as part of a team.
– Learns to use new software and AI tools quickly and effectively.
