Job Description

We are seeking a knowledgeable and dedicated Administrative Assistant to join our team! The ideal candidate should have a background in customer service, be a team player, and possess strong organizational skills. Location: Remote

Time Requirement: Full-time, Monday – Friday, 9:00 am – 5:00 pm EST.

Responsibilities:
• Monitor and respond to email communications from various inboxes.
• Answer phone calls and direct inquiries to the appropriate individuals.
• Coordinate travel arrangements as required. Maintain and organize internal calendars, scheduling meetings, discussions, work periods, etc.
• Assist with Accounts Receivable and Accounts Payable administration as needed.
• Collaborate effectively with colleagues and follow their instructions.
• Attend meetings to record minutes and prepare/send agendas based on team communications.
• Launch and manage VCI on Microsoft Planner for tracking on-site activities and tasks.
• Manage upload/download or proper SharePoint organization of reports, invoices, attachments, etc.
• Input basic reporting data into the VCI Key Performance Indicator tracker.
• Assist with invoice and accounts payable management.
• Assist with on-site communications, such as bulk templated communications (e.g., N4s, L1’s Notice of Rent Increase).
• Support organization and prioritization of key tasks.
• Assist with expense reports, scheduling

Qualifications:
• Prior experience in customer service or administrative roles is preferred.
• Excellent communication and interpersonal skills.
• Strong organizational and time management abilities.
• Proficient in using Microsoft Office Suite and other relevant software.
• Detail-oriented and able to handle multiple tasks simultaneously.
• Ability to work well within a team and take direction from colleagues.
