WE’RE HIRING: Commercial Administrative Assistant
Are you a highly organised, detail-oriented individual with a knack for multitasking? Do you excel in a fast-paced, dynamic environment, supporting sales and administrative functions?
We are seeking an exceptional Commercial Administrative Assistant to support our Commercial Sales Team, which focuses on working with Builders, Architects, and Designers. In this role, you will work closely with our Commercial Estimator, assisting in both administrative duties and estimating tasks, to support the seamless operations of our team.

This is a Full Time permanent Role. Only apply if you can give 100% to the team during your work hours.

LOCATION: Remote (Philippines VA Hub – Work from Home)

KEY RESPONSIBILITIES
Answer commercial enquiries via email or chat, ensuring exceptional service to our commercial customers.
Manage and prioritize commercial email correspondence, forward and distribute emails to the appropriate team members for action.
Upload purchase orders to the drive and manage contract folders efficiently.
Create and send off warranties and Safe Work Method Statements (SWMS) as required.
Prompt and support Estimation processing orders and managing online portals such as Hammertech, Procore, Aconex, and more.
Maintain and update project management portals, commercial lead sheets, and pipeline documents in collaboration with team members.
Monitor task completion within the Commercial Team Chat and provide training and support to team members as needed.
Schedule appointments and manage calendars for commercial team meetings and site measures.
Enter and manage orders in company ERP, keeping an eye on order statuses and ensuring adherence to the most up-to-date price lists.

QUALIFICATIONS
Proven experience in an administrative role or commercial estimating, preferably within a commercial sales or similar environment.
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
Strong communication and interpersonal skills, capable of working as part of a remote team.
Proficiency in Google Apps, Microsoft Office, Zoom, and other relevant business software.
Independent worker with the initiative to manage tasks and meet deadlines.
High degree of professionalism, discretion, and confidentiality.
