Job Title: Administrative Assistant
Department: Sales and Marketing
Pay-Rate: $800 + 13th-month bonus

Summary:
The Administrative Assistant is responsible for a variety of administrative tasks aimed at driving sales and ensuring smooth business operations. Key responsibilities include handling inbound sales calls, emails, and messages, creating online schedule programs, providing support for daily office requirements, and maintaining our company’s core operational workflows.

Responsibilities:
Website management: Use WordPress to update the company website with news and updates, images, promotional material, and program schedules.
Program management: Use WellnessLiving to update company programs, store information, and other relevant details. Create programs on WellnessLiving and ensure their listing on the website, Google, and Facebook.
Inventory management: Conduct inventory and merchandise cleanup tasks online. Add new inventory with images into WellnessLiving.
Customer service: Respond promptly to emails, phone calls, and Facebook messages from clients, prospects, and vendors.
Provide knowledgeable answers to questions about product, programs, pricing, and availability.
Process cancellations, refunds, and returns upon our company’s policy.
Sales and marketing: Reach out to organizations such as schools, businesses, and nonprofits to introduce and promote our programming. Proactively generate leads by making cold calls to previous clients and organizations. Schedule appointments for clients and facilitate their enrollment in programs.
Social media: Create engaging content for posting on the company’s social media channels using provided material.
Advertising: Utilize Canva to design advertisements for online and print use.
Reporting: Regularly email clients with weekly updates.

Additional tasks:
Identify customers’ needs, clarify information, research every issue and provide solutions and/or alternatives.
Create detailed SOPs about company procedures and policies for future reference.
Document training material to create manual for future staff.
Requirements and Skills:
Experience: Proven experience as a Virtual Assistant or in a similar role.
Technology: Familiarity with current technologies such as desktop sharing and cloud services.
Software: Proficiency in Google Docs, Google Sheets, WordPress, and WellnessLiving.
Communication: Excellent spoken English and confidence in speaking on the phone. Excellent written and verbal communication skills. Ability to communicate effectively with clients, vendors, and colleagues.
Time management: Strong time management skills to prioritize tasks effectively. Ability to multitask, organize, and prioritize work.
Organization: Solid organizational skills to maintain order and efficiency in work processes.
Availability: Must be available 10AM – 5PM EST Tuesday- Friday.
Bonus skills:
Ability to edit long videos for YouTube, Instagram, Facebook, Tik Tok.

Training:
Training in WellnessLiving and WordPress will be provided.
Training in WellnessLiving will cover all aspects of using the software, including program management, inventory management, customer service, and sales and marketing.
Training in WordPress will cover website navigation, content updates, image uploads, and promotional material.
Training will be conducted in a live online format.
