Position: Administrative Assistant

Duties and Responsibilities:

?Scan, fax, email, or copy documents
?Order and maintain office supplies and equipment
?Perform data entry, compile reports, and maintain records
?Reconcile bank accounts, credit cards, accounts payable, and accounts receivable
?Process invoices promptly and execute other bookkeeping and administrative duties
?Maintain accurate records of financial transactions by establishing accounts and posting transactions.
?Ensure all financial records are complete and up-to-date.
?Reconcile bank statements by comparing them with the general ledger.
? Investigate and resolve discrepancies.
?Manage accounts payable, ensuring timely and accurate payments to vendors
?Manage accounts receivable, ensuring timely collection of payments from clients.
?Organize and maintain physical and electronic filing systems
?Prepare, proofread, and edit documents, reports, and correspondence.
?Enter and update information in databases and systems.
?Ensure data accuracy and integrity.
?Ensure compliance with company policies and procedures.
?Maintain confidentiality of sensitive information.
?Collaborate with other team members to ensure seamless operations.
?Provide backup support to other administrative roles as needed.
?Track and report key metrics related to both bookkeeping and administrative functions.
?By combining bookkeeping and administrative responsibilities, the Bookkeeper/Admin Assistant at Blue Pearl Mortgage Group plays a crucial role in ensuring both the financial accuracy and operational efficiency of the organization.

Qualifications and Skills:

?Minimum of 2 years of related experience as a bookkeeper (preferred)
?Proficient computer and typing skills
?Strong interpersonal and communication skills
?Detail-oriented, flexible, adaptable, and highly organized
?Comfortable using Excel and efficient with QuickBooks
?Excellent time management skills
