Our law firm is looking for an administrative assistant to help with medical record retrieval, client communication, date entry and to assist other team members with providing great client service to our injury clients.

What You Will Do
You will assist our team members with providing great service to our clients You will be communicating with current clients and insurance companies and determining how to best help them. You will have the following responsibilities:

• Medical record retrieval – request records via fax, email and through software.
• Track and pay invoices for medical records.
• Assist with phone calls to clients for medical treatment updates in a professional and friendly manner.
• Prepare paperwork and send to potential clients, insurance carriers or law firms via email or fax or software.
• Schedule appointments and maintaining firm’s calendar.
• Track all leads in our CRM and spreadsheets.
• Track KPI’s in google sheets
• Update case activity in case management software.
• General administrative support including filing documents in dropbox and case management system and helping other team members.

7. You are great with people (not just good). You can easily sympathize with them, and you are good at navigating tricky social situations tactfully.
8. You enjoy answering the phone every time it rings. It’s never an “interruption” to you; it’s an “opportunity.”
9. You like to keep your workspace clean and organized.
10. Great at creating, maintaining, and deepening relationships.
11. Extremely detail-oriented.
12. Technologically savvy, exceptional computer skills (not just literate), proficient in Microsoft Office and Adobe and embraces the opportunity to learn new technology.
13. Easily learns and implements new ideas, trainings, and systems.
14. Great at follow-up and follow-through.
15. Work independently, prioritizing, and multitasking as necessary.

1. Is lazy and has trouble getting to work each day on time.

4. Has trouble following written checklists and systems.
5. Is disorganized and has a messy desk.
6. Has a negative personality.
7. Does not like to learn new things and does not believe in self-improvement.
