Key Responsibilities:
– Respond to emails and other forms of communication promptly and professionally.
– Coordinate and manage the schedules of executives and team members, including arranging appointments, meetings, and conference calls.
– Handle meeting room bookings and ensure necessary resources are available.
– Accurately input and maintain data in various databases and systems.
– Maintain organized physical and digital filing systems for easy retrieval of documents.
– Prepare and manage important documents, reports, and presentations.
– Organize and coordinate logistics for events and conferences.
– Assist in organizing company events and employee activities.
– Minimal bookkeeping tasks.
– Handle ad-hoc administrative tasks and provide support to other team members when required.
– Answer incoming calls, redirect calls as necessary, and take accurate messages.
– Arrange travel accommodations, including flights, accommodation, and transportation, for employees as needed.
– Ensure confidentiality and security of sensitive information.
– Assist with processing invoices, expenses, and other financial documents.
– Coordinate interdepartmental tasks and projects as assigned.
Requirements:
– Previous experience in an administrative role is beneficial but not always required for entry-level positions.
– Proficiency in using office software (e.g., Microsoft Office Suite), email, and basic data entry is essential.
– Excellent written and verbal communication skills to interact professionally with employees and external contacts.
– Strong organizational skills to manage multiple tasks, prioritize deadlines, and handle details accurately.
– A keen eye for detail to ensure accuracy in data entry, documentation, and other administrative tasks.
– Ability to identify issues and find effective solutions proactively.
