Job Overview:
We are looking for a Virtual Assistant with exceptional organizational and communication skills to support our team with daily administrative tasks. The ideal candidate should have experience in setting appointments, organizing travel plans, customer follow-up, email management, managing calendars, expense report submittal, taking notes, data entry, excellent writing skills, and mastery of the English language. This is a part-time position with the potential to transition to full-time based on demonstrated ability.
Key Responsibilities:
• Schedule appointments and meetings and ensure that all parties are informed and prepared
• Organize and manage travel plans, including booking flights, hotels, and transportation
• Follow-up with customers through email, phone, or other channels to ensure their satisfaction
• Manage and organize emails, prioritize them based on urgency, and respond to them in a timely manner
• Manage the employer’s calendar and schedule, ensuring that all appointments are recorded accurately
• Prepare and submit expense reports, including collecting receipts and submitting reimbursement requests
• Take notes during meetings and ensure that action items are recorded and completed
• Take initiative and provide support in other areas as needed
• Accurately enter data into various software platforms
Requirements:
• Excellent written and verbal communication skills in English
• Mastery of the English language
• Experience in setting appointments, organizing travel plans, customer follow-up, email management, managing calendar, expense report submittal, taking notes, data entry
• Ability to take initiative and provide support in other areas as needed
• Ability to work independently and manage multiple tasks simultaneously
• Attention to detail and ability to produce high-quality work
• Ability to work remotely and effectively communicate with team members
• Availability to work 20 hours per week, with the potential to transition to 40 hours based on demonstrated ability.
