Position Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting our team of CPAs and ensuring the smooth operation of day-to-day administrative tasks.

Responsibilities:

Provide administrative support to CPAs and other team members, including managing calendars, scheduling appointments, and coordinating meetings.
Assist in preparing and organizing documents, reports, and presentations for client meetings, audits, and other engagements.
Manage incoming and outgoing correspondence, including phone calls, emails, and mail.
Maintain client files and records accurately and confidentially, ensuring compliance with data protection regulations.
Assist in billing and invoicing processes, including preparing invoices, tracking payments, and resolving billing inquiries.
Coordinate travel arrangements and accommodations for staff as needed.
Assist in maintaining office supplies inventory and placing orders when necessary.
Collaborate with team members to ensure effective communication and coordination within the office.
Provide general administrative support, including filing, photocopying, and scanning documents.
Perform other duties and special projects as assigned by management.

Qualifications:

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Proven experience as an administrative assistant or in a similar role, preferably in an accounting or professional services environment.
Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy in work.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and the ability to work effectively in a team environment.
Ability to adapt to changing priorities and multitask effectively in a fast-paced environment.
Strong knowledge of accounting principles is a plus.
Quickbooks Desktop expertise is preferred
Should know DocuSign
Should be able to work EST business hours
Excellent verbal and written communication skills is a MUST
