We are seeking a highly organized and proactive Virtual Assistant to join our real estate company and provide comprehensive administrative, bookkeeping, and property management support. As a Virtual Assistant, you will play a crucial role in ensuring the smooth operation of our business by efficiently handling various tasks remotely. This is a remote position, and you will collaborate closely with our team to deliver outstanding service to our clients.
Responsibilities:
1. Administrative Support:
– Manage and maintain company calendars, schedule appointments, and coordinate meetings, ensuring all relevant parties are well informed.
– Handle correspondence, including email and phone inquiries, promptly and professionally.
– Prepare and edit documents, presentations, reports, and other materials as required.
– Assist in creating and maintaining databases, filing systems, and other organizational tools.
– Conduct research, gather data, and generate reports on specific topics as assigned.
2. Bookkeeping Tasks:
– Maintain accurate financial records, including tracking income and expenses, managing invoices, and reconciling bank statements.
– Prepare and submit monthly financial reports, ensuring compliance with accounting principles and company policies.
– Assist with budgeting and forecasting, helping to identify cost-saving opportunities and improve financial efficiency.
– Collaborate with the accounting team to provide the necessary documentation for tax filings and audits.
– Handle basic payroll tasks, such as tracking hours worked and processing payments.
3. Property Management Support:
– Assist with the management of rental properties, including tenant inquiries, lease agreements, and maintenance requests.
– Coordinate property inspections, repairs, and maintenance, ensuring timely resolution of issues.
– Maintain accurate records of rental payments, expenses, and property-related documentation.
– Conduct market research to determine rental rates, prepare property listings, and facilitate tenant screenings.
– Assist in coordinating move-ins, move-outs, and property showings as needed.
Requirements:
– Proven experience as a virtual assistant or in a similar administrative role.
– Strong organizational skills and ability to manage multiple tasks simultaneously.
– Excellent written and verbal communication skills, with a professional and friendly demeanor.
– Proficient computer skills, including experience with MS Office Suite and virtual communication tools.
– Basic bookkeeping knowledge and experience with financial recordkeeping.
– Familiarity with property management principles, leasing processes, and relevant software tools is a plus.
– Self-motivated and proactive, with a keen eye for detail and a problem-solving mindset.
– Ability to work independently, meet deadlines, and prioritize tasks effectively.
