Job Description

We are seeking a skilled Virtual Assistant to support our car dealership operations with a focus on auction vehicle searching, administrative tasks, customer service, marketing, and logistics. The ideal candidate will have experience in navigating auction websites, familiarity with the car industry, excellent organizational skills, and strong attention to detail.

Responsibilities:
1. Auction Vehicle Searching:
– Conduct online searches on various auction websites to identify potential vehicles for purchase.
– Analyze vehicle listings, including specifications, condition reports, and pricing information.
– Coordinate with dealership management to determine suitable vehicles for acquisition.

2. Document Preparation for the DMV:
– Prepare and organize documents required for vehicle registrations, titles, and transfers.
– Ensure accuracy and completeness of paperwork in compliance with DMV regulations.
– Coordinate with the appropriate authorities to facilitate smooth documentation processes.

3. Customer Service:
– Communicate with customers via email, phone, or chat to address inquiries, provide assistance, and resolve issues.
– Follow up with customers regarding outstanding payments, delivery schedules, and other post-sales matters.
– Maintain a professional and courteous demeanor while representing the dealership.

4. Invoicing and Payments:
– Generate invoices for vehicle sales, services, and other transactions.
– Accept payments through various channels, such as credit cards, checks, and online platforms.
– Ensure accurate recording and reconciliation of payments in the dealership’s systems.

5. Marketing:
– Assist in developing marketing strategies and promotional campaigns to attract customers.
– Create engaging content for social media platforms, website updates, and email newsletters.
– Monitor marketing performance metrics and provide recommendations for optimization.

6. Logistics:
– Coordinate transportation arrangements for vehicle deliveries and pickups.
– Liaise with shipping companies, transporters, and other logistics partners to ensure timely and cost-effective transport of vehicles.
– Track shipment statuses and communicate updates to relevant stakeholders.

Qualifications:
– Proven experience as a Virtual Assistant or similar role, preferably in the automotive industry.
– Familiarity with auction websites and processes for purchasing vehicles.
– Proficiency in MS Office and Google Workspace applications.
– Strong communication skills, both written and verbal.
– Excellent organizational and multitasking abilities.
– Attention to detail and accuracy in document preparation and data entry.
– Ability to work independently and efficiently in a remote environment.
– Flexibility to adapt to changing priorities and deadlines.

Preferred Qualifications:
– Previous experience working in a car dealership or automotive-related business.
– Knowledge of DMV regulations and documentation requirements.
– Experience in marketing, including content creation and social media management.
