Schedule: Approximately 10 pm – 6 am EST MONDAY – FRIDAY, OCCASIONAL WEEKENDS

NOTE: BECAUSE PART OF THIS JOB IS CUSTOMER AND EMPLOYEE SUPPORT, INCLUDING OVER THE TELEPHONE, THE CANDIDATE MUST BE ABLE TO WORK DURING NIGHTTIME IN TORONTO, CANADA (EST TIME ZONE).

YOU MUST ALSO HAVE A QUIET, DEDICATED WORKSTATION WHERE YOU CAN TALK ON THE PHONE OR THROUGH VIDEO CONFERENCING. YOU MUST HAVE A GOOD PC AND A SMART PHONE AND GOOD INTERNET CONNECTION.

This is a FULL-TIME POSITION, and we would expect THE VA to only work with us and give the position their full attention.

About the Position

We are a rapidly growing Security Guard services company based in Toronto, Canada.

We are looking for a Virtual Assistant to provide administrative support to our team while working remotely.

We are looking for a long-term relationship with someone that will be a part of our company and our success for many years.

As a Virtual Assistant, you will perform various administrative tasks, including answering emails, following up with employees by phone and email, scheduling interviews, data entry, monitoring employee performance through different tools, putting together invoice summaries and other administrative tasks.

Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision.

Responsibilities

– Supervise employee performance using cameras and a few other means
– Manage schedules, coordinate appointments, and maintain an organized calendar the managers
– Handle incoming and outgoing communications, including email, phone calls, and messages.
– Perform data entry, update records, and maintain accurate databases.
– Perform internet research, data collection, and information analysis as required.
– Liaise with clients, vendors, and internal team members
– Process invoices and expenses and assist with basic bookkeeping tasks.
– Organize and manage digital files, ensuring the confidentiality and security of sensitive information.
– Provide support for various projects and ad-hoc tasks as required.
– Schedule interviews for various roles within the company

Requirements

– High school diploma or equivalent; additional qualifications in Office Administration or a related field are a plus.
– Previous experience as a Virtual Assistant, Administrative Assistant, or similar role.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
– Excellent written and verbal communication skills, with strong attention to detail.
– Exceptional organizational and multitasking skills, with the ability to prioritize tasks and work independently.
– Problem-solving and critical-thinking abilities.
– Ability to handle confidential information with discretion and professionalism.
– A reliable internet connection and appropriate workspace for remote work.
