Administrative Assistant (Financial Planning)
Starting Rate: $6.00/hour
Hours: ~10hrs/week (remote work environment)
Working Time: Weekdays – US Eastern Standard Time (Morning).
Summary – We are seeking a highly organized and detail-oriented Virtual Administrative Assistant to join our team and provide remote administrative support to a dynamic financial planning company. Your main responsibility is to manage email communication for the financial planning team, including scheduling appointments and maintaining an organized inbox. You will also utilize project management tools to organize and track ongoing tasks and deadlines of agents and clients. Communicate with the team about upcoming agent training sessions and the current status of client accounts.

REQUIRED: Fluency in English and with near-perfect pronunciation (Very Important), excellent internet connection. Excellent phone, email and instant messaging communication skills.
REQUIRED: Minimum 2 years’ experience in email management, project management, appointment scheduling , and video conferencing.
REQUIRED: Must use Time-tracking software – Hubstaff (will be provided)
REQUIRED: Install and use a VPN to access proprietary CRM tool (will provide VPN subscription)

Responsibilities:
– Manage email communication for the financial planning team.
– Schedule appointments and maintain team calendars.
– Utilize project management tools to organize tasks and track progress.
– Communicate effectively with internal team members and clients via email, phone, and Telegram.
– Facilitate meetings using a video conferencing platform.
Preferred Experiences and Skills:
Minimum 2 years’ experience in Google Workspace Apps and Project Management Tools
– Gmail, Google Drive, Google Docs, Sheets, and Slides
– CRM Software (proprietary)
– Communication Apps (Telegram, Zoom, Bulk Texter Pro)
– Google Calendar and Calendly
