Job Description

Executive/Admin Assistant: Looking for energetic and eager-to-learn individuals for a growing United States based healthcare investment company working on research, calendar management, scheduling appointments, data entry, finding leads, and more. Must be able to problem-solve, communicate effectively and efficiently, be attentive to detail, and have excellent written and spoken English skills.

Roles and responsibilities:

– Research: Will be required to build lists of prospects in various industries and locations. For example, may need to build a list of business owners in a certain location with their names and contact information.
– Administrative Assistance: scheduling appointments, working with google calendar, gmail, outlook, emailing clients, sending followup emails after meetings and more.
– Data Entry: Collecting (from email and other sources) prospect information and entering it and organizing it within a CRM (we use hubspot).
– Executive Assistance: You will be working closely with one executive and managing many of the above tasks, creating tremendous efficiency and value for our company and our goals.

Qualifications and Education Requirements:

– English level (writing) should be at the level of a native speaker. (Will be writing emails to US clients and prospects)
– Reliable Internet Connection.
– Your own computer or laptop (data security is extremely important).
– Full Time (40hrs/week): Need to be able to work Monday through Friday, 8 hours per day, during daylight hours on Eastern Time (US). We are somewhat flexible within the daylight hours of 5am EST to 9pm EST.
– Experience as an administrative assistant, executive assistant or similar virtual role.
– Google calendar
– Gmail or outlook
– Microsoft word, powerpoint, excel.
– Google drive, docs, sheets.

Experience in the following is preferred but is not required (training will be provided for some skills and processes):

– CRM software (we use hubspot)
– Financial or investment firm research experience
– database research or data mining
– AI software such as ChatGPT
– VPN software
– HTML

Benefits:

Starting salary listed above with raises based on performance considered shortly after hiring/training. First 1-2 weeks will involve training and is compensated at the salary listed above. For the first several weeks, payments will be made weekly. Periodic bonuses will be awarded for good work. Full time position. Training provided. Long-term.
