Position Overview:

We are seeking an organized and multitasking Administrative Assistant with excellent communication skills to join our healthcare team. In this role, you will play a pivotal role in managing administrative tasks, coordinating with therapists, interacting with patients and their families, and supporting various office operations. If you have a pleasant personality, previous medical or healthcare office experience, and are capable of handling multiple responsibilities efficiently, we encourage you to apply.

Key Responsibilities:

Answer Phones: Professionally and courteously handle incoming phone calls, providing assistance or directing calls to the appropriate team members as needed.

Email and Text Management: Receive, organize, and route company emails and text messages promptly.

Therapist Coordination: Assist in scheduling and coordinating appointments with therapists, ensuring smooth service delivery.

Patient Interaction: Interact with patients and/or their family members in a friendly and empathetic manner, addressing their inquiries and concerns.

Doctor’s Office Communication: Contact doctor’s offices as required to obtain necessary paperwork and information.

Basic Spreadsheets: Create and maintain basic spreadsheets to support administrative tasks and record-keeping.

Insurance Verification: Verify insurance benefits for patients and assist with insurance-related inquiries.

Data Entry: Accurately enter patient information into the Electronic Medical Records (EMR) system.

Google Mapping: Utilize our custom Google mapping system for scheduling and logistical purposes.

Google Ads Campaign Oversight: Oversee and manage Google Ads campaigns to promote our services effectively.

Additional Duties: Assist with various other administrative tasks and responsibilities as needed.

Requirements:

Excellent Organizational Skills: Ability to maintain order and structure in a busy office environment.

Strong Multitasking: Proficiency in managing multiple tasks simultaneously without compromising quality.

Great Phone Presence: Effective and courteous telephone communication skills.

Medical or Healthcare Office Experience: Prior experience in a medical or healthcare office setting is highly desirable.

Pleasant Personality: A positive and friendly demeanor to create a welcoming atmosphere for patients and colleagues.
