Job Description

Are you a proactive and organised individual with a passion for solving problems and providing excellent service? We are seeking a dedicated Administrative Assistant to join our team at Ying Global. As an integral part of our property management firm, you will play a vital role in ensuring smooth operations and tenant satisfaction.?

Key Responsibilities:
* Tenant Relations: Use our property management software, Arthur, to address tenant issues and maintain excellent tenant relations. You may also have to answer tenant queries on WhatsApp / by phone.
* Order Management: Arrange and monitor Arthur orders, including contractor services, bi-weekly cleaning schedules, and notifying tenants about contractor visits.
* Contractor Coordination: Follow up with contractors to ensure timely completion of work and maintain high standards of property maintenance.
* Utility Liaison: Contact energy companies, council, and water companies to resolve issues promptly and efficiently.
* Financial Management: Organise service company payments and maintain a well-organised system for receipts, making it easy for the bookkeeper to access the information in Arthur.
* Contract Creation: Assist in creating and managing property contracts.
* Move-In and Move-Out: Handle the logistics and paperwork for tenant move-ins and move-outs.
* HMO License Management: Coordinate the application and maintenance of HMO licenses.
* Procurement: Arrange purchases from Amazon for replacing broken items and ensuring property maintenance supplies are well-stocked.
* Short Let Management: Oversee all aspects of short-term rental property maintenance, handle bills, and generate statements for tenants and landlords.

Requirements:

* Property Management Experience: Strongly preferred with at least 1-2 years of experience.
* Basic Excel Skills: Proficiency in Microsoft Excel is required.
* Knowledge of Property Management Systems: Familiarity with property management software is preferred.?
