Job Description

Position Overview:
We are seeking a highly organized and detail-oriented Virtual Assistant to support the operations of our assisted living facility. The ideal candidate will be responsible for a wide range of administrative, operational, and compliance-related tasks. This role requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving. The Virtual Assistant will work remotely and play a crucial role in ensuring the seamless functioning of our facility.

Responsibilities:

Schedule client doctor visits, ensuring accurate timing and necessary transportation arrangements.
Organize and maintain the Google Drive, ensuring files are well-structured, accessible, and up to date.
Assist in onboarding new staff, providing necessary information and ensuring a smooth transition.
Coordinate staff training requirements, ensuring all team members are up-to-date with training programs.
Place orders for facility purchases, maintaining inventory levels and adhering to budget guidelines.
Organize accounting receipts using QuickBooks, categorizing expenses accurately for financial tracking.
Manage client receipts from Discord or other platforms, organizing and cataloging them for record-keeping.
Place grocery orders to ensure the facility is well-stocked and dietary needs are met.
Maintain the client appointments calendar, scheduling and confirming appointments as needed.
Ensure the facility remains in compliance with documentation regulations, regularly reviewing and updating records.
Qualifications:

Proven experience as a Virtual Assistant or in a similar administrative role.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Excellent communication skills, both written and verbal.
Proficiency in using tools such as Google Drive, QuickBooks, and calendar management platforms.
Detail-oriented mindset with a commitment to accuracy.
Familiarity with healthcare regulations and compliance is a plus.
Self-motivated and able to work independently with minimal supervision.
Strong problem-solving abilities and adaptability in a dynamic environment.
High level of confidentiality and professionalism in handling sensitive information.
Remote Work Requirements:
This is a remote position. The candidate must have a reliable computer, high-speed internet connection, and a dedicated workspace to perform their tasks effectively. Regular communication with the facility’s management team will be essential.
