Job Description

We are currently looking for a remote Administrative Assistant (Spanish-English Bilingual) – US Property Management to undertake the following tasks:

Knowledge of working with Microsoft PowerPoint, Google suite, and Zoom. (required experience)
Setting up reservations for flights, car rentals, and hotels (required experience)
Help research methods for growing the number of doors we manage for the property management company.
Manage the onboarding process and checklist for New Owners. Follow up to ensure we get the owner’s information/ property intake form.
New owner account setup- enter new property owner and new properties into software (Door loop) and set up tenants and owner portals.
Set up vacant marketing units using Rently showing. Manage all e-mail requests for showing /request for applications
Prepare lease package. Assist future residents with completing our move-in checklist before picking up keys.
Help manage the company’s inbox, merge emails, and manage calendars using Sortd in Google Workspace.
Work with all the correspondence related to processing paperwork for tenant move-in/move-out, Documenting and setting up the alerts for payments, maintenance requests, lease renewals
Prepare, send, and retrieve HUD recertification documents from Tenants (When Applicable)
Update Doorloop when Section 8 tenants’ rent changes.
Send notices, i.e., notice to pay rent or vacate, lease renewals, etc.
Notify tenants regarding rent increases, and distribute rent increase reports to the property manager.
Respond to questions from tenants.
Handling complaints/ handling incoming calls, directing calls, answering basic questions, and answering correspondence on e-mail incoming calls.
Working Vendors:
· E-mail new service applications to vendors and follow up with vendors via phone or e-mail
· Set up new vendors into the Doorloop system and coordinate vendors’ documents needed like W-9 and 1099 and Insurance documents.
· Manage maintenance requests and follow up with Tenants

QUALIFICATIONS/SKILLS:
Must be bilingual in Spanish-English.
Be able to work flexible hours including WEEKENDS. We will create rotating shifts,
Have a reliable internet connection (and a backup connection if in an area where electricity outages, typhoons, etc affect the connection)
Have a strong work ethic and show up to work on time
Excellent Spanish and English verbal and written communication skills
Excellent customer service skills
Ability to multitask
Ability to work with tight deadlines and a fast-paced environment
Good collaboration and interpersonal skills
Has great attention to detail and quality assurance
The Schedule: EST Time 9:30 am -5:30 pm. Monday -Friday.

TECHNICAL REQUIREMENTS:
30MBPS or higher internet speed
i5 or higher processor
Minimum of 8 GB RAM
Private and quiet dedicated home office area (no roosters, dogs, children’s noises in the background)
Back-ups in case of power or Telco interruptions
Good headset and webcam (Preferably noise-canceling headset)
