We are seeking a highly organized and proactive individual to join our team as an Office Administrative Assistant to the CEO. In this role, you will provide comprehensive administrative support to the CEO, including managing communications, scheduling, and investor relations activities such as making calls and setting up appointments with the CEO as necessary. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to handle confidential information with utmost professionalism. This is a full-time position based virtually.
Responsibilities:
Calendar Management:
* Maintain and manage the CEO’s calendar, including scheduling appointments, meetings, and conferences.
* Coordinate travel arrangements, accommodations, and itineraries for the CEO as needed.
* Arrange calls and appointments for Investor Relations management, ensuring effective communication channels with investors.
Communication and Correspondence:
* Manage and prioritize incoming and outgoing communications, including emails, phone calls, and written correspondence.
* Draft and edit documents, memos, presentations, and reports on behalf of the CEO.
* Ensure timely and accurate distribution of information to relevant stakeholders.
* Make calls and set up appointments with stakeholders for Investor Relations purposes, as directed by the CEO.
Meeting Coordination and Support:
* Organize and coordinate meetings, conferences, and events, both internally and externally.
* Prepare meeting agendas, materials, and presentations.
* Take minutes, track action items, and follow up on deliverables.
* Facilitate communication and scheduling for meetings related to Investor Relations.
Information Management:
* Manage and maintain confidential files and records, ensuring accuracy and accessibility.
* Conduct research, gather data, and prepare reports as requested.
* Assist with data entry, document management, and record keeping.
Liaison and Relationship Management:
* Serve as a liaison between the CEO and internal/external stakeholders, including staff, clients, vendors, and partners.
* Build and maintain positive relationships with key stakeholders.
* Handle inquiries and provide assistance in a professional and courteous manner.
* Manage communications and scheduling for Investor Relations, acting as a point of contact as necessary.
Special Projects:
* Support the CEO in various special projects and initiatives as assigned.
* Conduct research, analyze data, and provide recommendations.
Qualifications:
* High school diploma or equivalent required; Bachelor’s degree preferred.
* Proven experience as an administrative assistant or executive assistant, with experience in Investor Relations a plus.
* Proficient in using office productivity software (e.g., Microsoft Office suite).
* Excellent verbal and written communication skills.
* Strong organizational and time management abilities.
* Ability to handle sensitive and confidential information with discretion.
* Attention to detail and commitment to accuracy.
* Strong problem-solving and decision-making skills.
* Ability to multitask and prioritize tasks effectively.
