Key Responsibilities:
1. Team Support: Provide comprehensive administrative support to our virtual assistant team, helping them excel in their roles and deliver exceptional service to our clients.
2. Communication: Serve as a communication hub within the team, facilitating information exchange and ensuring efficient collaboration.
3. Task Coordination: Assist in managing tasks and assignments within the team, ensuring deadlines are met and progress is monitored effectively.
4. Documentation: Prepare, review, and maintain documents, reports, and presentations with accuracy and consistency.
5. Calendar Management: Assist team members in organizing schedules, scheduling meetings, and coordinating appointments.
6. Data Management: Efficiently organize and maintain documents, data, and files to facilitate easy retrieval and secure storage.
7. Client Interaction: Interact with clients and external partners professionally, handling inquiries and providing support as needed.
8. Virtual Meeting Support: Set up and manage virtual meetings, webinars, and video conferences to ensure a seamless experience for all participants.
9. Time Management: Monitor and record team member’s time, prepare reports, and assist for their pay time off PTO.
10. Research: Conduct research and gather information to support decision-making processes and project requirements.
Qualifications:
1. Bachelor’s degree in business administration, Management, or a related field.
2. Minimum of three years of experience as an Administrative Assistant or in a similar role.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
4. Strong written and verbal communication skills.
5. Exceptional organizational and time management abilities.
6. Attention to detail and a commitment to maintaining high accuracy.
7. Ability to work effectively in a remote work environment.
8. Tech-savviness and adaptability to new software and tools.
