Bookkeeper and Administrative Assistant

Are you a detail-oriented and proactive individual with a knack for administrative tasks and expertise in Xero accounting software? We are looking for an high performing individual to join our team, providing remote administrative support while leveraging your proficiency in Xero to streamline financial processes. This is an exciting opportunity for a motivated individual who excels in organisation, communication, and with high attention to detail.

About You:
• Must have experience working with Australian Businesses
• Bookkeeping and Xero experience is a must
• High Level of attention to detail
• Advanced English: writing, speaking
• Strong skills in prioritisation of tasks

Responsibilities:

General Office Admin:
• Filing in our cloud database of company documents.
• Organising Repairs and Maintenance requests for all ECRE Pty Ltd locations
• Create and Maintain databases of company information: suppliers, clients, company-owned assets, relevant information, etc.
• Ordering ‘office’/administration supplies
• Assist in all mail and communication functions including distribution of incoming and outgoing correspondence.
• Coordinate and assist with functions and events, corporate marketing and related activities.
• Ensure company vehicles are registered and insured
• Ensure utility bills are up to date
• Liaise with Real Estate and strata for all locations in regards to notices and inspections
• Liaise with all suppliers in regards to matters relating to orders and services
• Data entry for all business areas as required

HR related Admin:
• Prepare and finalise Payroll reports and payments on a fortnightly basis
• Prepare and finalise cash payments on a fortnightly basis
• Prepare HR contracts
• Administrate and own the onboarding process for all staff: documentation collection, contract signing, record keeping, etc.

Accounts/Bookkeeping Admin:
• Processing all incoming bills into Dext
• Creating Purchase Orders – Xero
• Creating Invoices – Xero
• Liaising with ‘Café Bookkeepers’
• Preparing Payables reports
• Preparing Receivables reports
• Credit Collection
• Follow up and Resolve bills and invoicing matters

Warehouse/Production related Admin:
• Liaising with UPS, TNT, DHL for imports and exports, getting quotes, preparing and collating relevant documentation for shipments
• Liaising with Australia Post and Sendle (or other delivery companies) when required.
• Preparing Wholesale Contracts and working with Account Manager to ensure a smooth onboarding process.

Other Administrative tasks:
• Work on ad-hoc projects with Office Team
