Summary:

The Administrative Manager is a critical role in the success of our online website project, responsible for providing comprehensive administrative support and ensuring the smooth operation of the project. The ideal candidate will possess exceptional organizational skills, effective time management abilities, and a proven track record of success in fast-paced environments.

Responsibilities:

Administrative Support:
-Provide administrative assistance to the Directors, scheduling meetings, and preparing reports for efficient project documentation.
-Manage the project budget proactively, track expenses meticulously, and ensure timely processing of all invoices, adhering to financial guidelines.

Coordination and Collaboration:
-Collaborate effectively with the web development team, fostering seamless communication to ensure timely completion of project deliverables within allocated budgets.
-Monitor the project schedule vigilantly, tracking milestones and ensuring that deadlines are met consistently.

Director’s Communication:
-Maintain open lines of communication with the Directors, keeping them well-informed about the project’s progress through regular updates and reports.
-Organize and facilitate meetings to gather input, address concerns, and maintain the Directors engagement throughout the project lifecycle.

Project Documentation:
-Maintain comprehensive project documentation, including project plans, meeting minutes, status reports, and relevant correspondence, ensuring easy access and transparency.
-Utilize project management software efficiently, updating project information, tracking tasks, and managing resources effectively.

Team Management:
-Assist in the recruitment process, evaluating candidates, and onboarding new team members, fostering a collaborative and productive work environment.
-Delegate tasks effectively, monitor progress, and provide guidance to ensure optimal performance and achievement of project goals.

Qualifications:

Educational Background:
-Bachelor’s degree in Business Administration, Project Management, or a related field.

Experience:
-Minimum of three years of experience in a project management or administrative role, demonstrating a successful track record.

Skills and Abilities:
-Exceptional organizational and time management skills, with the ability to manage multiple tasks and meet deadlines efficiently.
-Excellent communication and interpersonal skills, capable of building strong relationships with project Directors and team members.
-Basic understanding of Microsoft Office Suite, including Word, Excel, Google Spreadsheets, and Docs.
-Proficiency in the basic communication of AI such as Chatgpt, Google Gemini, etc.
-Familiarity with software, such as ClickUp, GoHighLevel, WordPress, Canva, and Divi Elegant Themes, is highly advantageous.
